Administrative & Facility Team Lead (2-year fixed term position)

Immediate opening for motivated professional w/ dynamic supervisory skills to lead admin/facilities team in Hilo & partner w/ admin/facilities manager to develop group’s procedures.  Previous mgt exp, Bachelor’s degree, excellent communication & people skills, & proficiency in MS Office required.  Experience with LEED/Sustainability projects &/or web content management highly desirable. 

 

The AFG Team Leader [North] is responsible for ensuring the consistent delivery of high standards of office, facility management, travel and visitor related services at Gemini North(GN) and for content management of the AFG web pages; supporting and supervising the day-to-day activities of the local Administration & Facilities team; assigning and reviewing tasks; overseeing work and leave schedules; providing project support and reports to the Administration & Facilities Manager, based in Hilo, Hawaii.

Duties and Responsibilities:



•    Day-to-day supervision of the Administration & Facilities Group effort at GN; service delivery and regulatory compliance; staff supervision.

•    Act as the local senior contact for GN-based staff and their work areas  e.g.., facilities and infrastructure, Directorate support, travel, visitor support, administrative and secretarial duties; provide regular reports to the AFG Manager of the issues and activities in these areas and monitor local progress of group goals.

•    Assist the Administration & Facilities Group Manager in the development and review of observatory-wide administrative and facility management budget, procedures, documentation and key performance indicators

•    Develop and maintain a strong web presence for the administrative group as a whole and act as the content manager for Administration & Facilities Group issues

•    Other duties, special projects and temporary staff substitution as required.


Must have ability to organize, assign and direct the work of administrative staff. Ability to represent the Group locally and respond to the needs of Gemini North customers in Science, Engineering and Operations as well as external suppliers. Ability to review and produce improvements to administrative and infrastructure support systems.

A business degree, or equivalent experience, is required combined with good previous administrative/supervisory experience. Further education qualifications [or equivalent experience] in facilities management, LEED training and certification, or information technology [especially webdesign in a business context] would be very advantageous

Previous successful supervisory experience, ideally in a fast-moving business in a customer-facing environment in a high-tech sector. Previous facilities management, LEED project management or web development experience would be very valuable.

 

Good organizational and supervisory skills and an advanced understanding of Microsoft Office tools are essential. High degree of professionalism, discretion, and sound business ethics. Excellent interpersonal skills and written and verbal communication skills. Knowledge of Autocad and Maintscape software a plus. Webmaster skills – as either designer, writer, editor or content manager – plus a good understanding of usability issues would be highly desirable.

ASSOCIATION OF UNIVERSITIES FOR RESEARCH IN ASTRONOMY
 
The Association of Universities for Research in Astronomy (AURA) seeks to establish the position of Executive Vice President of AURA. This is a new position. The Executive Vice President would functionally serve as a deputy to the President and second in the overall corporate management structure.  We are seeking an individual with an outstanding background in science or science policy, and management.  The person must convey a strong vision and a demonstrated leadership and talent for administration in a complex and evolving environment.

The Executive Vice President will act on behalf of the President, will represent AURA and the President, and will carry out special initiatives at the direction of the President.  Factors that will be considered in the selection will include: familiarity with current issues in the nation’s astronomy program; familiarity with the Federal budget and policy process; experience in dealing with Federal funding agencies including NSF and NASA; and an understanding of the basic mission and role of AURA.

Salary and compensation will be established at a level appropriate to the candidate’s experience and comparable to senior staff levels within AURA.
